Built for Practices That Take Their Technology Seriously
Most managed IT providers were built for 100-person companies and have spent the last decade trying to make small-practice service profitable for themselves. We built Trailhead the other way around: a deliberately small, high-touch IT practice that fits the way modern healthcare offices actually work.
Our clients are independent practices with 3 to 25 employees who want a single, reliable technology partner — one that knows their environment, picks up the phone, understands HIPAA the way a clinician understands a chart, and treats their practice’s uptime the way they treat their patients’ care.
If that sounds like the kind of relationship you’ve been looking for, we should talk.
Five Things We Do Differently
HIPAA is built into how we operate, not bolted on as a premium upsell. Every retainer client receives complete compliance management — risk assessments, BAA tracking, MFA enforcement, encryption verification, workforce training — as part of the standard relationship.
You’ll know us by name. There is no rotating tier-1 helpdesk between you and the people who designed your environment. When something matters, you reach a senior technologist immediately.
We operate on a modern self-hosted stack rather than carrying the licensing overhead of legacy enterprise platforms. The result is faster, cleaner service for clients — without the inflated per-seat costs other providers pass through.
Headquartered in Knoxville. We provide on-site service across Knox County, Blount County, and the broader East Tennessee corridor. When something requires hands on hardware, ours arrive — same day for critical incidents.
Quarterly business reviews. Roadmap conversations. Vendor coordination on your behalf. Honest counsel on which technology investments are worth making and which ones aren’t. We measure our success by your practice’s outcomes — not by ticket close rates.
What the First 90 Days Look Like
We’ve found that the strongest client relationships start with a structured onboarding process. Here’s what to expect when you engage Trailhead.
On-site visit, complete asset inventory, network audit, security posture review, and an interview with your team to understand workflows, pain points, and priorities. We document everything in your private practice runbook.
Immediate remediation of any security or operational gaps that can’t wait. MFA deployment, encryption verification, backup validation, BAA gap closure. We resolve the urgent items first so you can stop worrying about them.
Full migration to our monitoring and management infrastructure. Patching cadence established. Support channels go live. Your team is introduced to how we work and how to reach us.
With your environment stable, we begin proactive improvements: workflow optimization, cost reductions, vendor consolidation, documentation refinement, and any compliance work outlined in the assessment.
A formal review of everything accomplished, KPIs delivered, and our recommended technology roadmap for the next quarter. This is where the partnership becomes strategic, not just operational.
Three Tiers. One Standard of Service.
Every plan is built on the same foundation of direct, expert support. The tiers differ in compliance depth, response time, and strategic involvement — not in the quality of attention your practice receives.

Not Sure Which Tier Fits?
Most practices aren’t, before we’ve spoken. The right plan depends on factors only a conversation can surface — your existing infrastructure, your compliance posture, your tolerance for risk, your growth plans. We’ll help you decide what’s actually right, including telling you when you don’t need our highest tier.
Available with Any Plan
Extend your retainer with any of the following services, layered in as your practice’s needs evolve.
Defined Projects for Specific Needs
For practices that aren’t yet ready for a full retainer relationship — or that need a specific project handled — we also accept defined scopes of work.
The federally required annual risk analysis, executed thoroughly and documented to OCR audit standard. The most common starting point for practices new to Trailhead.
Complete compliance reset: assessment, gap closure, policy implementation, and workforce training in a single engagement.
Cabling, managed switches, business-grade firewall, segmented WiFi, and documentation. For practices opening, expanding, or replacing aging infrastructure.
Data migration, integration, staff training, and go-live support for practices switching platforms.
HIPAA-grade backup with verified recovery testing — the system most practices think they have but actually don’t.
Now required for every covered entity under the 2026 HIPAA Security Rule. Executed by certified professionals; documented for compliance.
Complete technology design and execution for new construction or office moves.
Strategic technology planning for practices that want senior-level IT leadership without a full retainer.
Common Questions
Every engagement begins with a complimentary practice technology assessment — typically a 30-minute conversation followed by a brief environment review. From there we provide a written proposal with concrete pricing for either an ongoing retainer or a defined project.
Trail Watch onboarding is $1,500. Trail Guard is $3,500. Trail Summit is $6,500. Onboarding fees are waived for clients who commit to a 24-month service term.
The initial term is 12 months. After that, the relationship continues month-to-month with 30-day cancellation — same easy-out terms as our digital marketing services.
Solo and two-person practices have their own conversation. We have flexible options for these cases that don’t fit the standard tiers — let’s talk about your specific situation.
Yes. We frequently co-manage alongside in-house staff or specialized vendors when that’s the right structure. We can also handle full takeovers when consolidation is the better path.
Yes. We’re based in Knoxville and provide on-site service across Knox County, Blount County, and surrounding areas — Farragut, Maryville, Oak Ridge, Sevierville, Lenoir City, Powell, Bearden, Halls, Cedar Bluff, and Hardin Valley. Same-day dispatch for critical incidents.
Three things: we’re sized correctly for practices with 3–25 employees, where larger MSPs aren’t profitable; our self-hosted infrastructure means we don’t pass enterprise tooling costs through to clients; and you’ll work directly with the founders and senior engineers — not a rotating cast of tier-1 technicians.
Independent dental, medical, behavioral health, veterinary, optometry, physical therapy, and chiropractic practices. We also support law firms, accounting practices, and other small professional service businesses with similar compliance and trust requirements.
Every Engagement Begins with a Complimentary Assessment
There is no obligation, no canned pitch, and no high-pressure sales process. Just an honest conversation about where your practice stands and whether we’re the right partner for what comes next.
